Part 6 · Management and Tracking of the Project

Question 2

A 6 day task is tracked using the Tracking Table.  50% is entered in the %Complete field, and then 4 days is entered in Actual Duration.  What will be the result?

 Duration%CompleteAct. Dur.Rem. Dur.
A8 d 50% 4 d 4 d
B6 d 50% 4 d 2 d
C6 d 50% 3 d 3 d
D6 d 67% 4 d 2 d
E4 d 100% 4 d 0 d

Answer: CorrectIncorrect

The Tracking table only allows the entry of one field at a time.  Thus the %complete and Actual Duration values are not entered together but one after another.  The entry of the 4 day Actual will overrule the 50% Complete and the task will remain a 6 day task.

If the Update Tasks form was used, rather than the Tracking table, the %Complete and the Actual Duration would be inputed at the same time and the result would produce answer A, an 8 day task.

The 3 values, %Complete; Actual Duration and Remaining Duration, must always make mathematical sense.  The entry of the 4 days Actual Duration would, in this case, overrule the 50% Complete and cause a re-calculation of the %Complete.

The order in which the values are entered is important.  When the 50% value was entered the task would have been tracked as described in this Answer (50%, 3 & 3) but the subsequent entering of the 4 day Actual Duration would cause another calculation and a different result.

The sequential entry of values in the Tracking table means that the 50% Complete value, which was entered first, will be re-calculated away by the subsequent entry of the 4 day Actual Duration.

The use of the Update Task form causes Project to accept both the %Complete and Actual Duration values at the same time, and if it was used to enter the data in this example it would produce Answer A.

Question 3

When an Actual Duration value is entered that is equal to or greater than the Duration of the task Project will assume the task has been completed.  It will change the %Complete to 100% and Remaining Duration to 0.
In this case the 4 day Actual Duration entered is less than the 6 day task duration, this means the task will not be classed as 100% complete.
